This meeting was to begin co-ordination of a joint Fairtrade/Community Council St Andrews week reception and declaration of Fairtrade Town status.

1. Invitation

  • 1. A provisional invitation to the proposed event had been produced by BR.

action: BR to continue refinement

2. Venue

  • PL explained that Fife Council (FC) normally fund a reception in St Andrews Burgh Chambers during St Andrews week.
  • SInce FC will not fund this event this year but the Community Council (CC) hope to hold one, with funding from CC and possibly also FC. local office
  • Possibility of holding a joint CC and Fairtrade declaration was discussed.
  • Burgh Chambers is a more suitable venue than the Supper Room and should be able to accommodate 100 or more people.
  • PL suggested trying to get entry re venue in St Andrews Festival events programme changed, if there is still time.

action: MR to check with Town Hall about limit on numbers in Burgh Chambers

3. Refreshments

  • BR thinks £300 to £500 may be needed for wine, juice, water, crisps/nibbles.
  • £128 is available from a grant awarded to FT for this.
  • Anstruther Co-op. and Alldays in St Andrews had been approached re supplying food and drink on sale-or-return basis: Co-op happy to do this at shop prices, with no glass-hire service. Alldays had not yet replied.
  • BR suggested that supplier could be mentioned on invitation as sponsoring the event, if some discount is offered.

action: MR to ask Barbara Ritchie of Aikman's for a price for supplying drink (Fairtrade) and crisps etc with bar and clearing-up-after service.
MR also to speak to Margaret Geyer about Traidcraft FT food.
PR to contact Luvian's.
BR to contact the Students' Union and Bruce Stewart of Burntisland regarding provision of FT refreshments.

4. Invitations

  • MR to contact Roddy Yarr and Donald MacGregor (both agreed to speak at the FT Town declaration) regarding whether a change in time to 7pm -8 pm on Wed Nov 30, instead of 5-6 pm, would be suitable.
  • PL to contact Town Hall re. extending provisional booking of Burgh Chambers to 6pm to 9 pm.
  • PL to ask for invitation list for 2004 from FC/St Andrews Week organisers to use as a basis, but would want to ask additional people. MR had produced a provisional list of local FT supporters, organisations and individuals using list from Alice Curteis and the FT Directory. BR to co-ordinate these two.
  • Invitations to be posted out at least 4 weeks ahead of the event.
  • PR offered to provide envelopes; BR (and PL) ink and paper.
  • Invitation to include RSVP, to PL.

action: as above

Since this concluded discussion of joint event, PL left the meeting.

 

5. Discussion of Fairtrade Town Booklet

  • HLF had turned down our application for funding for printing of the booklet.
  • It was agreed that time is now too short to find new sources of funding before 30 November so a smaller number (100?) of cheaper black and white versions might be produced using CC printer, in order to distribute these on 30 November.
  • Other sources of funding can be explored as time permits, e.g. possible advertisers might be approached re having entries in future colour versions of the booklet.
  • 3. Need some more quotations to fill up space; any other suggestions welcome.
